Glamping Terms & Conditions

Thank you for choosing Manor Farm Stay Glamping in Sutton on Sea. We offer glamping in wooden pods on our small peaceful farm.

Upon making a booking you are entering into an agreement with us, which is detailed in the Terms and Conditions below. Please read these carefully and contact us if you have any queries.

  • Tariffs & Deposits

The tariff quoted is for accommodation in a glamping pod (referred to as ‘accommodation’). Unless clearly stated on your booking confirmation, any extras will incur an additional cost.

Your booking must be secured with a deposit payment of 50% of the total balance made within 24 hours of your reservation. This payment can be made by credit or debit card over the telephone - please call Rachel or Dom on 01507 440947.

  • Cancellation & Refunds

When you make your booking and we have received the required deposit to secure the booking, a legally binding contract exists between us. We are a small business and cancellations do have a big impact so please be respectful and notify us if you are unable to honour our contract.

A cancellation fee of up to 10% will be charged to cover debit/credit card charges and administration.

If you need to cancel your booking due to good reason we are happy to transfer your booking to another date if at all possible, without loss of your original deposit, providing you do so more than 7 days before your stay. Please contact us to discuss.

If you have booked via a third-party agent and wish to cancel please consult your agent’s terms and conditions, as we are unable to process your cancellation and refund.

  • Non-availability of Accommodation

Should it be necessary for us to cancel a booking in exceptional circumstances we will contact you immediately. Any payments made for cancelled nights would be refunded in full. Our liability would not extend beyond this refund.

  • Check-in and check-out

Check-in is 4pm - 8pm on your day of arrival. If you haven’t arrived by 8pm then we will regard it as a ‘no-show’. We strongly advise arriving in daylight as there are minimal outside lights on the glamping site. Please advise us of your arrival time.

Please vacate your accommodation by 10am on your day of departure, unless arranged otherwise.

  • Payment

The balance of your payment is due on arrival. Payment can be made by cash, credit or debit card.

If you wish to pay by cash you will still be requested to provide a credit/debit card on arrival as guarantee against any damages.

  • Damages & Repairs

Please respect the accommodation and our property. You are responsible and liable for any breakages, damages or losses, which you cause to the accommodation or its contents, or any part of the glamping site. We reserve the right to charge for repair or making good if the damage, breakage or loss is significant. Please report any incidents when they occur and ensure you tell us immediately if there are any problems with your accommodation so we can take steps to remedy them.

  • During your stay

Site rules

This is a small peaceful glamping site and we welcome families, couples and solo travellers. We cannot accommodate large parties, hen parties and stag parties etc. Bookings from adult groups (more than 2 adults) will not be accepted.

Antisocial behaviour or actions which are likely to offend others will not be tolerated and we reserve the right to terminate your stay. No refunds will be made.

Only registered guests are allowed on the premises. We do not allow guests to invite visitors here as this is out of compliance with the fire management protocol and insurance. This also ensures the glamping site remains a peaceful place for everyone.

No smoking or use of electronic cigarettes inside the pod at any time. If you smoke outside, please smoke at least 3 metres away from the pod and decking and completely away from the farm buildings. An ashtray is provided in the vicinity of each pod, do not discard cigarette butts.

No naked flames, candles or incense may be burnt inside the pod or within 3 metres of the pod..

Disposable BBQs are not allowed on site due to the fire risk. Fire bowls, grill and bbq utensils can be hired and will be provided with a starter pack of firewood and kindling. Open fires are only allowed in the fire bowls (which must not be moved) and only in appropriate weather conditions, in particularly windy or dry periods the fire bowls will not be available. Guests should be aware that the fire bowls may be dangerous if misused. Instructions can be found in the Welcome Folder and must be read before use.

Each pod has a smoke alarm, fire blanket and a fire extinguisher. Two additional fire extinguishers and site evacuator fire alarm is positioned at the fire point. Fire safety instructions are provided in the Welcome Folder.

Manor Farm is a working farm and guests must take care on site with regards to farm machinery, wire fencing, uneven/muddy ground and farm animals, and other hazards. Do not enter farm buildings or fields or climb on or over gates or fences. Do not approach or feed animals.

The pods are located in a grass field with pathways but the terrain is uneven.

No loud noise after 9pm or before 8am. No loud radios or amplified music at any time.

Fireworks and sky lanterns are forbidden as they pose a risk of fire and are a danger to livestock and people.

The glamping meadow is a low-light site and we encourage guests to bring torches. There is a PIR light on the porch of each pod and lighting and electricity in the pods but no WiFi or TV.

Do not leave litter anywhere on site and never leave food or rubbish outside your accommodation, please use the appropriate bins provided in the glamping car park.

Valuables are left on site at your own risk.

At the end of your stay you must ensure that:

Your accommodation is left in a tidy condition.

All rubbish is placed in the appropriate bins provided in the glamping car park.

All kitchen equipment is properly washed up and returned to the drawers and cupboards.

If the accommodation is not left in an acceptable condition and extra cleaning is required, this will incur a charge.

  • Covid-19

All guests must adhere to government guidelines regarding Covid-19, violation of these guidelines will result in your being asked to leave.

  • What is Included

  • Car Parking

Parking is available for guests’ use adjacent to the glamping meadow. Cars and any possessions are left here are at owner's risk. No cars are allowed in the glamping meadow, wheelbarrows are provided for your use. Please observe speed limits on the farm.

We are unable to offer electric car charging but can provide details of nearby charging points. 

  • Prices

We reserve the right to change our prices at any time. This does not affect bookings already made.

  • Dogs

Dogs are charged at £7 per dog per night, with maximum 2 dogs per accommodation. Dogs must not be left unattended in the accommodation or on site at any time. Dogs must be under control and kept on a lead at all times due to proximity to livestock. We reserve the right to ask you to leave if your dog causes undue or continued disturbance. You must clean up after your dog and use the bins provided.

  • Children

Children under 16 must be accompanied and supervised by a responsible adult at all times. A travel cot and high chair are available for hire, please enquire at time of booking.

  • Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of their employment.

  • Guest Registration

In order to comply with the Immigration (Hotel Records) Order 1972 (and subsequent amendments), guests aged over 16 are required to complete a Guest Registration Form upon check-in. Information collected includes full name, nationality, date of arrival and departure. In addition, guests who are not British, Irish or Commonwealth citizens will be asked to provide their passport number, place of issue and next destination. Details from this form will be kept for at least 12 months. The management reserve the right to request to see one form of photo identification and to take a copy.

The holding and use of personal information is regulated by the General Data Protection Regulaton (GDPR). The owner, Ms Rachel Mager, is the Data Controller. We are committed to safeguarding and respecting your personal information.
