Terms & Conditions

Thank you for choosing Manor Farm Stay Bed and Breakfast in Sutton on Sea. We are looking forward to welcoming you to our home. Upon making a booking you are entering into an agreement with us, which is detailed in the Terms and Conditions below. Please read these carefully and contact us if you have any queries.

  1. Tariffs & Deposits

The tariff quoted is for overnight accommodation and breakfast. Unless clearly stated on your booking confirmation, any extras (dog accommodation, etc) will incur an additional cost.

Your booking must be secured with a deposit payment of 50% of the total balance made within 24 hours of your reservation. This payment can be made by credit or debit card over the telephone - please call Rachel or Dom on 01507 440947.

2. Cancellation & Refunds

When you make your booking and we have received the required deposit to secure the booking, a legally binding contract exists between us. We are a small B&B and cancellations do have a big impact so please be respectful and notify us if you are unable to honour our contract.

A cancellation fee of up to 10% will be charged to cover debit/credit card charges and administration.

If you need to cancel your booking due to good reason we are happy to transfer your booking to another date if at all possible, without loss of your original deposit, providing you do so more than 7 days before your stay. Please contact us to discuss.

If you have booked via a third party agent and wish to cancel please consult your agent’s terms and conditions, as we are unable to process your cancellation and refund.

If the Government impose a Covid-19 travel restriction covering the period of your stay we will refund your deposit if you have booked direct, less a cancellation fee of up to 10%. Bookings made through a third party agent will be subject to their terms and conditions. 

3. Non-availability of Accommodation

Should it be necessary for us to cancel a booking in exceptional circumstances we will contact you immediately. With your permission, we would attempt to offer you accommodation in another local bed and breakfast of the same or similar standard. Any payments made would be refunded in full. Our liability would not extend beyond this refund.

4. Check-in, check-out and breakfast times

Check-in is from 4pm - 8pm on your day of arrival. We are often busy in the garden or on other projects so it would be really useful if you could give us an estimated time of arrival (a phone call/email on the evening before or on the morning of arrival would be fine). An early or late check-in may be available but must be arranged with us prior to arrival. If you haven’t arrived by 8pm then we will regard it as a ‘no-show’ and you will be charged for your stay. We reserve the right to re-let the room.

Breakfast is served 8am - 9am, an earlier breakfast is possible by prior arrangement.

Please vacate your room by 10am on your day of departure, unless arranged otherwise.

5. Payment

The balance of your payment is due on arrival. Payment can be made by cash, credit or debit card. 

If you wish to pay by cash you will still be requested to provide a credit/debit card on arrival as guarantee against any damages.

6. Damages & Repairs

Please respect our home. You are responsible and liable for any breakages, damages or losses, which you cause to the accommodation or its contents. We do not normally charge for accidental breakages, but we reserve the right to charge for repair or making good if the damage, breakage or loss is significant. Please report any incidents when they occur and ensure you tell us immediately if there are any problems with your accommodation (bedroom and shower room) so we can take steps to remedy them.

7. During your stay

Antisocial behaviour or actions which are likely to offend others will not be tolerated and we reserve the right to terminate your stay. Any balance remaining must be settled and no refunds will be made. Only registered guests are allowed on the premises, unless by prior arrangement.

Manor Farm is a working farm and guests are advised to take care on site with regards to farm machinery, wire fencing, uneven/muddy ground and farm animals. Guests must not enter farm buildings or fields without supervision or climb over gates or fences. If you are pregnant or suspect you may be pregnant, please do not visit the livestock due to the potential risk of acquiring certain infectious diseases. Please ask if you need further information.

You are welcome to use the Garden Room during your stay. Please do not take any hot food (takeaways etc) into your bedroom.

8. Covid-19

All guests must adhere to current government guidelines regarding Covid-19, violation of these guidelines will result in your being asked to leave.

If during your stay you are advised by a Healthcare Professional to self-isolate and are unable to return home you will be required to pay in advance for any additional nights accommodation you require beyond the original booking, along with any extra items (e.g. food or medicine) required.

9. No Smoking

We do not permit smoking or the use of electronic cigarettes inside Manor Farm Stay at any time. If you smoke outside, please smoke in the garden but away from the patio and the door and windows of the Garden Room. An ashtray is provided in the garden. Please keep away from any farm buildings.

10. Car Parking

Parking is available for guests’ use at the side of the farmhouse. Cars parked here are at owner's risk. Please observe speed limits on the farm.

We are unable to offer electric car charging. 

11 Keys

You will be given a set of keys when you register on arrival and will have access to the farmhouse and your room 24 hours a day throughout your stay. You have full responsibility for these keys during your stay. Lost keys will be charged at £20.00 per set.

12. Prices

We reserve the right to change our prices at any time. This does not affect bookings already made.

13. Pets

Pets are charged at £5 per pet per night, with maximum 2 pets per room. If you wish you bring a pet other than a dog please contact us so we can understand your requirements. Dogs must not be left unattended in the farmhouse at any time and are not allowed on the beds or furniture. Dogs are allowed in the Garden Room when food is not being served and if it is agreeable with other guests. Dogs must be kept on a lead. We reserve the right to ask you to leave if your dog causes undue or continued disturbance.

14. Children

Children of all ages are welcome. We can provide a highchair and a travel cot free of charge (but ask that you bring your own bedding for the cot). Please contact us to arrange this.

15. Wi-Fi Access

By connecting to our Wi-Fi service you automatically agree to the terms and conditions of use, which are available in the Welcome Folder within your room.

16. Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of their employment.

17. Guest Registration

In order to comply with the Immigration (Hotel Records) Order 1972 (and subsequent amendments), guests aged over 16 are required to complete a Guest Registration Form upon check-in. Information collected includes full name, nationality, date of arrival and departure. In addition, guests who are not British, Irish or Commenwealth citizens will be asked to provide their passport number, place of issue and next destination. Details from this form will be kept for at least 12 months. The management reserve the right to request to see one form of photo identification and to take a copy.

18  Data and privacy

The holding and use of personal information is regulated by the Data Protection Act 1998. For the purpose of the act, the B&B proprietor, Ms Rachel Mager, is the Data Controller.
